You know the basics of MS Project, but it offers far more than you currently use. In this follow-up course you will get to grips with the advanced features: from resource pools and custom reports to macros and sub-projects. That way you get everything out of MS Project.

Description

You already work with MS Project and have a firm grasp of the basics: planning tasks, assigning resources, tracking costs and reporting all come easily to you. Even so, you feel there is more to be gained. In this follow-up course you will delve into the advanced possibilities of MS Project and learn to set up your work more cleverly and more quickly.

After a brief refresher of the basics, you will work step by step through functionality such as configuring options optimally, working with multiple calendars, building a Work Breakdown Structure and managing dependencies. You will work with filters, groups and flags, with formulas, lookup lists and graphical indicators, and with multiple timelines in a single project view.

Adjusting the Gantt view, working with a resource pool and resource management are also covered. You take a closer look at standard reports and your own report designs, export visual reports to Excel and Visio, and are introduced to macros and working with sub-projects.

The course is classroom-based and taught in small groups, so the trainer can respond to your situation. You are welcome to bring your own practical example, which makes it even more concrete.

After this training course you will know how to make the most of the advanced features of MS Project to manage your projects. This advanced training course is intended for project managers, planners and project staff who already work with MS Project and have a good command of the basics. You plan tasks, assign resources and produce reports, but you want to get more out of the programme. During the course you discover the advanced features and learn to work faster and more efficiently.

Teaching method

You take this follow-up course in a classroom setting in a small group, guided by an experienced trainer. After a brief refresher of the basics, you will work step by step with the advanced functionality of MS Project. The trainer adapts the pace and content to your starting level and learning objectives, so that you focus on what is relevant to you.

Theory and practice alternate throughout. You practise straight away with assignments in MS Project, so you apply what you have learnt immediately. Are you running into a particular issue in your own work? Feel free to bring it to the course and work on it together with the trainer.

Prior knowledge

You work with MS Project on a regular basis and are able to plan tasks, assign resources and produce simple reports independently. No other specific prior knowledge is required — at the start of the course we will briefly go over the basics with you.

Opt for classroom-based learning if you work with MS Project on a structural basis and want to become faster and more proficient, rather than picking up isolated tricks.

That depends on how often you use MS Project after the course. The MS Project Advanced course consists of 2 classroom days. Elements such as filters, groups, customised GANTT views and standard reports can usually be applied the very next week in an ongoing project. More complex functionality such as a resource pool, sub-projects, formulas with lookup tables and graphical indicators, or macros, requires more practice. Expect several weeks of active use before this becomes routine. Tip: bring your own project file to the course. The trainer will then discuss your case in class, so you translate what you have learned directly into your own working situation rather than a fictitious example. That shortens the learning curve considerably compared with self-study afterwards.

The MS Project Advanced course suits you if you already use MS Project actively for project planning and are running up against the limits of the basic functionality. Specifically, the course is suitable if you work on several projects at once, need a shared resource pool, or want to produce more complex reports in Excel or Visio. If you mainly work with light task lists or short projects, tools such as Microsoft Planner, Trello or Asana make more sense; MS Project is overkill for that. Not sure whether to choose MS Project or Primavera P6? Primavera is mainly used in construction, infrastructure and oil & gas for very large programmes. MS Project is common within organisations that already work on the Microsoft 365 platform. The course takes 2 days and is taught in the classroom.

In 2025, MS Project remains the standard for classic project management with a clear Work Breakdown Structure, critical path analysis and resource planning across longer timelines. Tools such as Jira, Asana and Monday.com are stronger for agile working, task boards and team collaboration, but less suitable for complex dependencies, sub-projects and detailed cost and cash flow reporting. The classroom MS Project Advanced course (2 days) teaches exactly those advanced planning features: resource pools, formulas, lookup tables, graphical indicators, macros and visual reports to Excel and Visio. If you work in an environment with fixed deadlines, budgets and several interdependent projects, for example in construction, infrastructure, engineering or government, MS Project is still the logical choice. If you work purely agile with scrum teams, Jira is a better fit.

With standard resource allocation you assign people or materials to one specific project. If someone works on several projects at the same time, you cannot see overallocation and the schedules become disconnected. A resource pool is a central file in which you manage resources once and share them across several projects. This lets you see at a glance whether an employee is overbooked, even when the work spans different project plans. In the MS Project Advanced course we cover working with a resource pool, resource management and sub-projects. You will learn how to link projects to the pool, spot conflicts and resolve overallocation. The course lasts 2 days and is classroom-based. You are welcome to bring your own case, which makes applying it to your own project environment more direct.
