SharePoint is often full of valuable content that nobody can find any more. With Microsoft 365 Copilot, you turn your intranet and document libraries back into a place where colleagues quickly find the right answer. In this course you learn how to use Copilot purposefully for searching, summarising, creating content and refreshing neglected site collections.

Description

Copilot changes the way you work with SharePoint. Instead of clicking through folders, you ask a question in natural language and get a summary with source references. Instead of filling a blank page, you let Copilot write a first version based on existing documents or a short briefing.

The morning session focuses on searching and finding. You search company content with questions in natural language, have documents summarised from a library and search across sites for relevant files. You practise with Copilot suggestions for metadata and filtering, so that your content becomes easier to find.

In the afternoon you focus on content creation and site management. You design a site and page structure, write pages, news posts, FAQ sections and knowledge base articles with the help of Copilot, and interpret visitor statistics via Copilot Q&A. You also look at how Copilot handles permissions and sensitivity labels.

You bring along a neglected site collection of your own as a case study. Together with the trainer you build a concrete clean-up plan around it, so you can apply what you have learned as soon as you are back in the office.

Teaching method

During this one-day course you alternate between short explanations and hands-on exercises in SharePoint with Copilot. You use a Learnit test environment or, if you prefer, your own Microsoft 365 environment with a Copilot licence.

The morning focuses on searching and finding: you learn to search company content using natural language, generate document summaries and retrieve information across sites. In the afternoon you get to work on content creation and site management: you design a site structure, write pages, news posts and knowledge base articles with the help of Copilot, and look at how permissions and sensitivity labels take effect.

You bring along a neglected site collection of your own as a case study. Together with the trainer you use it to draw up a concrete refresh plan, so you can apply what you have learned directly to your own work. The group has a maximum of 8 participants, which leaves plenty of room for personal questions and feedback.

You receive a workbook with 30 prompts for content management, a site architecture template and a measurement dashboard for SharePoint usage.

Prior knowledge

You have a basic knowledge of SharePoint: you know how sites, libraries, lists, pages and permissions work. Have you taken our SharePoint Basics course or gained comparable experience in practice? Then you will fit in well. You also work with a Microsoft 365 environment with a Copilot licence, or you use our Learnit test environment during the course.

Comments

If possible, bring along your own site collection or intranet page that is due for a refresh. That way you work directly on your own practical case during the lesson.

In-company

Would you like to organise this training for a whole group or several groups? This can be cost-effective. For example, we can tailor the content entirely to your organisation, and training a whole group is also cheaper.

Are you looking at large numbers of participants or a complete academy? That involves a great deal. Certainly. Communications staff, editors and knowledge managers get a lot out of this course, because a large part of the day is about writing, structuring and improving the findability of content. The technical parts around permissions and sensitivity labels stay at a functional level, so you understand how Copilot handles access without having to be an administrator yourself.

Copilot respects the existing permissions in SharePoint and Microsoft 365. Whatever a user is not allowed to see, Copilot will not use in answers or summaries either. Sensitivity labels are retained on derived content. In class you look at how this works out in practice and which agreements you can make within your organisation to prevent leaks through Copilot searches.
