More and more organisations are switching to working in the cloud. With Google Workspace (formerly G Suite) you make collaborating, sharing calendars and emailing a good deal simpler. In this course you will discover the possibilities of Gmail, Google Drive and Google Calendar.

You'll learn how to share documents, spreadsheets and presentations with colleagues and how to work on them together and simultaneously. Whether your colleagues are in the office or working from home: with Google Drive you keep communication lines short and collaborate clearly.

What is the difference between this course and a Microsoft 365 training course with OneDrive and Outlook?
Both courses cover cloud collaboration, but the tools and working methods differ. Google Workspace (Gmail, Drive, Calendar, Docs, Sheets) is entirely browser-based and strongly focused on real-time co-creation: several people work in the same document at the same time without sending files back and forth. Microsoft 365 combines desktop apps (Word, Excel, Outlook) with OneDrive and Teams, which is more convenient for complex Excel models or documents with heavy formatting. Choose this course if your organisation uses Google Workspace or is considering it, or if you are joining an employer that works in Gmail and Drive. If you work in a Microsoft environment, a Microsoft 365 training course is a better fit. The underlying principles (sharing folders, managing permissions, linking calendars) are comparable; the interface and keyboard shortcuts are not.
How do I know whether this course suits me if I have worked with Outlook for years and now have to switch to Google Workspace?
This course is aimed specifically at people moving from another email and calendar environment (such as Outlook) to Google Workspace. You get to know the practical differences: how labels in Gmail work instead of folders, how to share and manage multiple calendars in Google Calendar, and how to work in a single document at the same time as your colleagues in Google Drive. The course is suitable if you work with email, calendar and documents on a daily basis and want to become productive in the new environment quickly. Never worked with cloud applications before? Then the course is still a good fit, as we start with the basics. Do you already work entirely in Google Workspace and are you looking for more depth on, say, Apps Script or advanced admin settings? Then this course will be too basic.
How soon after the Google Drive and Google Calendar course will I be able to work independently with colleagues in shared documents?
You can put what you have learnt into practice straight after the course day. The course is practice-oriented: you practise sharing files yourself, setting permissions (view, comment, edit), working in a document at the same time as colleagues and managing versions. You also schedule meetings via Google Calendar and share calendars with your team. For basic tasks such as sharing a document or creating an event you will be self-sufficient. For more complex scenarios, such as structuring shared team drives or combining them with Gmail filters, you will need a few weeks of practical experience to build up routine. Compared with self-study via YouTube, you save time because an experienced trainer answers your questions immediately and you learn from other participants' mistakes.
Does the Google Drive and Calendar course also work if my organisation uses a mix of Google Workspace and, for example, Slack or Microsoft Teams?
Yes, the course focuses on the Google Workspace components Gmail, Drive and Calendar and covers these separately from the other tools your organisation uses. The knowledge you gain about shared documents, permission management and calendar invitations is directly applicable, even if you also work with Slack, Teams or another chat channel. Google Drive integrates with many external services through connections and links, allowing you to share a document in Drive via almost any communication channel. The course does not cover the configuration of Slack or Teams themselves. If you specifically want to learn how to use Google Workspace and Microsoft 365 alongside each other, discuss this in advance. The trainer can then include examples from a hybrid environment.
What do I need to arrange in terms of permissions and administration before I start setting up shared folders for my team after the Google Drive and Calendar course?
Before rolling out a shared folder structure, check three things: the type of storage, the permission levels and the administration. Google Workspace has personal 'My Drive' and 'Shared Drives'; the latter belong to the team rather than to an individual and remain in place when someone leaves. During the course you learn to work with the four sharing permissions: viewer, commenter, editor and owner. Something similar applies to calendars: 'see free/busy only', see appointment details, or make changes yourself. What the course does not cover is the admin console (setting domain-wide policy). Discuss that in advance with your IT administrator, so that the choices you make during the course fit with what is permitted within your organisation.
