Minute-taking is a skill in its own right: you cannot write everything down, so you have to make choices. In this course you learn how to hold on to the main thread, summarise clearly and turn your notes into a clear report with concrete agreements.

Description

Taking minutes calls for sharp choices: you simply cannot write everything down. This course gives you a grip on that selection, so that afterwards you are not left with a jumble of words but with a report that captures the essence and sets out the agreements made clearly.

You work on techniques for grasping the main thread of a meeting, separating main points from side issues and turning your notes into a structured report. You also practise selective and active listening, good preparation, drawing up an action list and writing up your minutes clearly and attractively. The course alternates theory with exercises based on audio material, reflection and the exchange of experiences, so that you notice straight away what works for you.

Afterwards you take minutes with more confidence and produce reports that are useful for everyone around the table.

Topics

  • Various techniques for taking minutes effectively
  • Selective and active listening
  • How to prepare properly for a meeting
  • What good minutes should contain
  • Drawing up a clear list of actions and decisions
  • Practising separating the essentials from the side issues
  • Writing clearly and engagingly
  • Making clear notes and writing them up quickly
  • Taking minutes during in-person and online meetings

Result

After this course you can set out the main thread of a meeting clearly and turn your notes into a well-organised report. You know how to separate main points from side issues, draw up a usable action list and formulate your minutes in an attractive and clear way.

You prepare for a meeting in a focused way, listen selectively and actively, and apply various minute-taking techniques that suit you and the situation. The result: you take minutes with more confidence and produce reports that colleagues really benefit from.

Target audience

This course suits you well if you are about to take minutes for the first time, if you already take minutes but would like practical tips to sharpen your skills, or if you mainly want to work on the presentation and write-up of your minutes. Colleagues who regularly report on online meetings also get a great deal out of this course.

Teaching method

During the course you alternate between experiencing, reflecting, practising with audio material and exploring theory. As a result, the programme suits a wide range of participants. There is plenty of action: you notice straight away what effect your way of taking minutes has.

By exchanging experiences you sharpen your approach further. Sticking points are put on the table, but you also recognise what is already going well. In doing so, we emphasise that you own your own development process.

Prior knowledge

No specific prior knowledge is required for this course. Whether you are about to take minutes for the first time or already have experience, you can join straight away. A little writing ability and a willingness to practise actively are enough.

In-company

Would you like to organise this training for a whole group or several groups? This can be cost-effective. For example, we can tailor the content entirely to your organisation, and training a whole group is also cheaper.

Are you looking at large numbers of participants or a complete academy? That involves a great deal. Consider planning and communication, for example, or identifying and agreeing the objectives and content of the training. Or differences in level, feedback mechanisms and safeguarding. Fortunately, Learnit has extensive experience in this field (more than 25 years) and we are happy to help you through this process.

Frequently asked questions

No, you do not need any prior knowledge for the Minute-taking: efficient and results-oriented course. The course is suitable for anyone who will be taking minutes for the first time shortly, already takes minutes but would like some tips, or wants to improve the presentation of their minutes. During the course you will learn to separate main points from side issues, set up a clear structure and quickly work up your notes into a clear report.

The Minute-taking course is suitable for anyone who will soon be taking minutes, who already has experience but wants to sharpen their technique, or who wants to improve the presentation of their minutes. No prior knowledge is required. Think of secretaries, management assistants, project staff and board members. During the training course you learn to separate the essentials from the side issues and to turn notes into a clear report.

During the Minute-taking course you learn various techniques for capturing the main thread of a meeting. Think of selective and active listening, separating main points from side issues, making clear notes and quickly working these up into a clear report. You also practise drawing up an action list and writing in an engaging way. The course lasts

Yes, on completion of the Minute-Taking course you receive a certificate of participation from Learnit. This certificate confirms that you have successfully completed the classroom course. You can add it to your LinkedIn profile or CV to demonstrate that you have the skills to take minutes efficiently and in a results-oriented way during meetings.

Yes, the Minute-taking course can also be delivered in-company. Beforehand, an individual intake takes place in which your learning objectives are identified. The final programme is determined on that basis, tailored to the prior knowledge, practical experience and wishes of the participants. In this way the course fits in perfectly with the meeting culture and minute-taking style within your own organisation.

The Minute Taking course at Learnit is classroom-based, lasts The biggest difference with an e-learning lies in the practice: you work with audio material and realistic meeting fragments, you receive immediate feedback from the trainer and you exchange experiences with other participants. That makes distinguishing the essentials from the side issues a skill you actively experience, rather than merely read about. An e-learning is suitable if you want to work through the theory at your own pace. The classroom course is a better fit if you want to practise selective listening, sharpen your notes and receive feedback on your own reports. You leave after with concrete techniques, a workable structure for minutes and more confidence to start taking minutes straight away in your next meeting.

Choose the Minute-taking course if you have to summarise meetings and want to get a grip on that: separating the essentials from the side issues, choosing a workable structure, drawing up an action list and writing up notes quickly. The training course takes place in the classroom. You practise with audio material and exchange experiences, so you receive immediate feedback on your own way of taking notes. If your main concern is formulating clearly outside the context of meetings – reports, e-mails, policy documents – then a writing skills training course is a better fit. The Minute-taking course does cover writing (writing attractively and clearly), but always linked to recording what was said and agreed in a meeting. In two minds? The intake beforehand helps determine whether your learning objectives are a good match.

The Minute-taking course is set up in a practical way, so that you can apply the techniques immediately after the course. During the course you practise with audio material and realistic meeting situations, so that you already have a grasp of separating main points from side issues and working with a fixed minutes structure before you go home. For your next meeting you can get started straight away with the preparation checklist provided, the structure for decision and action lists, and the write-up techniques. Expect the write-up to still take some time during the first two or three meetings while you get the working method under your belt. After that, most participants notice that they take notes faster, select more purposefully and produce clearer reports. The costs are.

The difference lies in practising with immediate feedback. During the course you work with audio material from real meetings and turn your notes into draft minutes on the spot. The trainer looks on and points out where you are mixing up main and side issues, where your structure is lacking, or where you are taking down too much verbatim. You will not get that from a book. In addition, you exchange experiences with other participants who face the same difficulty. You also learn selective and active listening, a skill you can only master by doing it and being corrected. The costs are. Self-study costs less, but you miss the mirror that other participants and an experienced trainer hold up to you.

A classroom course and individual coaching serve different purposes. Learnit's classroom Minute-taking course is suitable if you want to learn the basics or sharpen your skills. You practise with audio material, exchange experiences with other participants and learn techniques for separating main points from side issues. Individual coaching makes more sense if you are already an experienced minute-taker and want to work on a specific sticking point, for example taking minutes in a board meeting or in a legal context. Exchanging experiences with other participants then adds less value. For most minute-takers, whether beginners or with some experience, the classroom version is more efficient, because in a group setting you recognise more quickly what works and what does not. Not sure? In the intake preceding the course we look at whether your learning objectives match the programme.

Yes. The techniques you learn – selective and active listening, separating main points from side issues, building a clear structure and drawing up an action list – work just as well for meetings via Microsoft Teams, Zoom or Google Meet as for face-to-face gatherings. The course is taught in a classroom setting. During the course you practise with audio material, which comes close to the situation in which you write up an online meeting. What the course does not cover: setting up or operating specific meeting software or automatic transcription tools. The focus is on your ability to record the essentials and the agreements made – a skill you will continue to need, even if you use a transcript as your starting point.
