Do you want to get information out of databases without getting stuck in complex structures? In the Access Basics course you work purposefully with tables, queries, forms and reports. You learn to understand databases and get a grip on your data.

Description

In this course you work purposefully with databases in Access. You learn how a database is structured and how you can approach this structure with Access. You then work with filters and queries to retrieve and amend data and to present it clearly in reports.

You also learn to design tables yourself, use primary keys and indexes and link several tables together. In addition, you create data entry forms that allow others without any knowledge of Access to enter data easily, and you put together reports that present the information from your tables clearly.

An important advantage of this course is that you gain a good understanding of the general structure of databases. That knowledge helps you not only with Access, but also when working with other database systems. The course is offered in the open learning format, in which you work at your own pace for a full course day under the guidance of an experienced trainer. At the start you discuss your entry level and learning objectives together, so that you can focus on the topics most relevant to you.

Topics

  • Getting to know databases and their structure
  • Designing tables and adjusting their formatting
  • Adding, changing and deleting data
  • Sorting, searching and filtering data
  • Indexing and working with primary keys
  • Retrieving information using queries
  • Working with several tables at once
  • Creating labels
  • Building entry forms for users without knowledge of Access
  • Applying form filters and selection filters
  • Adjusting form design to your requirements
  • Putting together clear reports based on your tables

Result

After this course you will work independently with Access. You will access databases, retrieve information using filters and queries, and present the results in clear reports. You will design your own tables, establish relationships between multiple tables and create data entry forms that allow others to add data easily.

You will also understand the structure and terminology of databases in general. That knowledge will also help you when working with database systems other than Access.

Target audience

This course is intended for anyone who wants to start using Access to retrieve, analyse and report on information from databases. Think of office staff, administrative employees, analysts or administrators who work with data regularly and want to get more of a grip on it. Prior knowledge of Access is not required. It is useful, however, if you are familiar with the basics of Windows and Office.

Teaching method

You follow this course in our open learning format. This means that on a course day you work through the course material independently, at your own pace and at your own level. An experienced trainer is present all day to guide you, answer questions and look over your shoulder during the exercises.

At the start of the day you discuss your entry level and what you want to get out of the course with the trainer. This allows you to focus on the topics that are most relevant to you. You alternate between theory and practical assignments, so that you apply what you have learned directly in Access.

Prior knowledge

You do not need any prior knowledge of Access. It is useful, though, if you work comfortably with Windows and can save and retrieve files. Have you ever worked with Excel? Then you will recognise some of the principles, but it is certainly not required. We start with the basics.

Course format

This training is offered on the basis of our Open Learning teaching method. This means that you work independently, with active guidance from our trainer, to master the material. That way you can achieve your learning objectives at your own pace, without being held back by fellow participants working faster or slower. The trainer makes sure that you stay on schedule and meet your learning objectives. This form of learning leaves room for a tailored approach. You have the opportunity to bring in examples from your own practice and IT environment, so that your learning is even more specific. more...

In-company

Would you like to organise this training for a whole group or several groups? This can be cost-effective. For example, we can tailor the content entirely to your organisation, and training a whole group is also cheaper.

Are you looking at large numbers of participants or a complete academy? That involves a great deal. Consider planning and communication, for example, or identifying and agreeing the objectives and content of the training. Or differences in level, feedback mechanisms and safeguarding. Fortunately, Learnit has extensive experience in this field (more than 25 years) and we are happy to help you through this process.

Frequently asked questions

In the Access Basics course you learn to work with databases in Microsoft Access. You design tables, retrieve data using filters and queries, create data entry forms and put together clear reports. You also gain insight into the structure of databases and the terminology involved. Afterwards you will have mastered the most important functions of Access and understand how databases are built up in general.

The Access Basics course lasts one day and is offered in the open learning format. This means you work through the course material at your own pace, while an experienced trainer is on hand to guide you and answer questions. You decide where to put the focus, so that the course matches your working situation and learning objectives.

No, the Access Basics course does not require any prior knowledge of databases. A basic knowledge of Windows and working with a mouse and keyboard is sufficient. You start with the structure of databases and build up step by step to creating tables, queries, forms and reports. Experience with Excel is useful, but certainly not a requirement.

Yes, after completing the Access Basics course you receive a certificate of participation. This certificate confirms that you have attended the course and have command of the basic skills of Access, such as working with tables, queries, forms and reports. You can use this certificate to demonstrate within your organisation or on your CV that you can handle Access databases.

Yes, the Access Basics course can also be taken in-company or tailored to your needs. You decide on the location, date and group size, and the content is tailored to the databases and working processes within your organisation. This is ideal if several colleagues want to learn to work with Access at the same time, or if you want to practise with your own example databases from everyday practice.

In the Access Basics course you learn to work with databases, design tables, sort, filter and index data, and build queries to retrieve information. You create entry forms that allow others without any knowledge of Access to enter data, and you put together clear reports. Working with multiple tables, primary keys and labels is also covered.

Excel and Access solve different problems. Excel works with flat worksheets and is strong in calculations, charts and ad-hoc analyses on manageable datasets. Access is a relational database: you work with several tables linked to each other by keys, which prevents duplicate entry and keeps larger volumes of data manageable. In the Access Basics course you learn to design tables, use primary keys, retrieve data with queries, create entry forms for colleagues without any knowledge of Access, and generate reports. Choose Access if you have recurring questions about structured data, if several users enter data, or if your dataset becomes too large or too relational for Excel. An added benefit: after the course you will also understand the structure of other databases. The course is taught in open learning format and lasts one day.

Access is a good fit for situations in which you want to set up and manage a clear database yourself without any programming. Think of membership records, stock lists or customer data within a department. You work visually with tables, queries, forms and reports. For larger datasets, simultaneous use by many people or web-based applications, you will soon be better off with SQL Server, MySQL or a cloud solution. Compared with Excel, Access offers a genuine relational structure: you establish links between tables and avoid duplicate entry. Compared with a professional SQL database, Access is more accessible, because you do not have to write any code. In the Access Basics course you learn the structure of databases and the associated terminology. That knowledge also helps you when working with other databases.

You take the Access Basics course at Learnit in open learning format, one day on location. In open learning format you work through the course material independently, at your own pace and at your own level. A trainer is present all day to answer questions and look in on exercises. The advantage is that you can spend time on topics that are relevant to you, such as queries or forms, and move more quickly through the parts you already know. At the start, the trainer discusses your entry level and learning objectives with you. This format works well if you want to practise in a targeted way with your own questions about databases. There is no classroom instruction for the whole group; you work individually with guidance on request.

The Access Basics course is intended for people who have little or no experience with Microsoft Access. This course suits you if you want to retrieve data from databases, design simple tables, build queries and create reports. General computer skills are sufficient; prior knowledge of databases is not required. Do you already work with Access on a daily basis, build complex queries with multiple joins yourself and know terms such as referential integrity and normalised tables? Then you are probably at advanced level. At the start of the course the trainer discusses your entry level and learning objectives, so that you can focus on the topics relevant to you. In doubt? Contact LearnIt for a short level check.

An online tutorial or YouTube video is free and flexible, but you work on your own and at a fixed pace. The Access Basics course at LearnIt is delivered in an open learning format: you work through the material independently, but an experienced trainer is present to answer your questions straight away and to match the pace and focus to your situation. At the start, the trainer discusses your starting level and learning objectives, so that you practise the topics that are relevant to your work. You work in the software version you use yourself, with matching course material. So you get personal guidance with queries, forms and reports, instead of puzzling things out yourself when something does not work. For anyone who wants to use Access on a structural basis at work, that delivers results more quickly.

After the Access Basics course you can set up a working database on your own. You design tables with the right field types, define primary keys and link multiple tables together. You build queries to retrieve data, filter and sort data, and create forms that let colleagues without any knowledge of Access enter data. You also generate clear reports and labels from your tables. What falls outside the basic level: complex VBA programming, advanced macros, connections to SQL Server or SharePoint, and building multi-user databases with advanced permission management. For those subjects a follow-up course makes more sense. The basics do cover the vast majority of what administrative and analytical roles need in practice.
